POSITION OVERVIEW:

Startec Corporate Services is currently searching for a Senior Executive Assistant to work at our Shepard office location (9423 Shepard Road SE. Calgary, Alberta T2C 4R6), to provide proactive high-level administrative and operational support to the CEO, President, and Executive Leadership Team. This role is critical to the efficiency, effectiveness, and professionalism of the Executive Office and plays a key role in enabling leadership to focus on strategic priorities.

The Senior Executive Assistant acts as a trusted partner and gatekeeper, managing complex schedules, sensitive communications, executive workflows, and cross-functional coordination. In addition to executive support, this role contributes to sales support, cultural initiatives, and corporate events. The ideal candidate is discreet, highly organized, adaptable, and thrives in a fast-paced, dynamic environment while maintaining exceptional attention to detail and professionalism.
 

KEY PERFORMANCE INDICATORS (KPI):

EXECUTIVE ADMINISTRATIVE SUPPORT (Weighting 70%)

  • Provide comprehensive, administrative support to the CEO and members of the Executive Team.
  • Proactively manage executive calendars, contacts, priorities, and meeting scheduling using Outlook and other productivity tools.
  • Prepare, format, and design professional correspondence, reports, presentations, and briefing material using Microsoft Word, Excel, and PowerPoint.
  • Coordinate logistics for executive, board, and senior leadership meetings.
  • Preparate agendas, materials, minutes, and follow-up action tracking of strategic meetings and initiatives.
  • Draft, edit, and manage internal and external communications on behalf of executive leadership with a high degree of professionalism and discretion.
  • Maintain secure electronic and physical filing systems for confidential and sensitive information.
  • Support executive KPI tracking, leadership meeting rhythms, and preparation of board and governance-related materials.
  • Support the arrangement of travel of executive team members, as required.
  • Prepare and reconcile executive expense reports and manage corporate credit card documentation.
  • Support the day-to-day administration and coordination of executive office operations, events, and internal communications.
  • Act as a key liaison between the Executive Office and internal departments to ensure effective communication, alignment, and follow-through.
  • Provide backup for and liaise with the Office Administrator as required.

 EVENT COORDINATION (Weighting 30%)

  • Support and advance company initiatives that promote employee engagement, connection, and organizational pride.
  • Partner with executive leadership, HR, and internal stakeholders to plan, coordinate, and execute corporate events, leadership meetings, and company-wide initiatives.
  • Lead the coordination of internal and external events including employee recognition programs, customer appreciation events, trade shows, conferences, and social activities.
  • Manage event logistics from planning through execution, including scheduling, vendor coordination, materials preparation, and post-event feedback and follow-up.
  • Support internal communication and engagement initiatives by assisting with content preparation, presentations, and promotional materials.
  • Coordinate the development, updating, and distribution of corporate presentations and branded materials in support of leadership and organizational initiatives.
  • Assist with data gathering, reporting, and KPI tracking related to engagement initiatives and executive priorities.
  • Support survey design, data collection, and analysis to inform employee feedback, engagement strategies, and continuous improvement efforts.

QUALIFICATIONS:

  • Post-secondary education in Business Administration or related field preferred.
  • Minimum of 5 years of experience in an executive or senior administrative assistant role.
  • Experience with internal and/or external event planning and coordination  
  • High proficiency in Microsoft Office Suite, especially Excel, Outlook, Sharepoint, Word, and PowerPoint.
  • Strong organizational and time management skills with high attention to detail.
  • Excellent written and verbal communication skills across all levels of the organization.
  • Professional, team-oriented approach with a commitment to confidentiality and integrity.
  • ERP system (i.e. SAP, Concur, or Microsoft Dynamics) experience is considered an asset.
  • Typing speed of 50+ WPM.
